    What to include so we can answer properly

    You do not need any of this to get in touch – but if you have it, sending it in the first message saves a round trip and usually gets you a real number rather than a range.

    • The show and the venue. Which event, which city, which hall. Load-in rules and labor conditions change by building, so this is the single most useful thing you can tell us.
    • Booth number and size. A 10×10 inline and a 20×30 island are different jobs even at the same show.
    • Move-in and move-out windows. Your target dates and times, and whether your freight is going to the advance warehouse or direct to show site.
    • Drawings, if you have them. Setup drawings, plan views, electrical and rigging plans. We would rather read them than guess.
    • Anything unusual. Hanging signs, second levels, lighting or AV that needs a specialist, product that has to be handled a particular way.

    What happens after you send it

    A person on our team reads the message – there is no autoresponder holding it for a day – and replies within one business day. If the job is straightforward we come back with a labor plan: crew size, hours and days, and what it will cost. If something in the brief needs a conversation, we will call.

    Once the plan is agreed, we assign the crew and give you the name of the lead who will be on the floor, so you are not calling a switchboard on move-in morning.

    Frequently asked questions

    How far ahead should I book labor?

    Earlier is better, particularly for the big Q1 and Q4 shows where every exhibitor in the country is chasing the same crews. That said, short-notice requests are normal in this industry. Ask – we will tell you honestly whether we can cover it rather than take the job and hope.

    Do you work as an exhibitor-appointed contractor?

    Yes. We work as an EAC on show floors nationwide and handle the notification paperwork that goes with it, alongside the certificates of insurance the show organiser asks for.

    Which parts of the country do you cover?

    We field crews in California, Florida, Massachusetts, Nevada, New York and Texas, and travel to shows nationwide. If your show is somewhere we do not have a standing crew, say so and we will tell you what coverage looks like for that city.

    Can you handle just part of a job?

    Yes. Some clients want a full crew with on-site management for a week; others want two experienced hands for a morning, or dismantle only. Both are normal.
