Challenge

BBC Studios came to Licensing Expo 2025 with the same brief every major licensor brings — every hour of show needs to be a meeting, and the booth has to function as 14 simultaneous deal rooms while still reading as one cohesive BBC Studios environment. The 30′ × 50′ island at Booth N204 had to fit 72 chairs, 14 meeting tables, four LED kiosks, a 65″ reception display, a separate photo op, branded merch, and storage — all inside Mandalay Bay’s hard rigging and load-in windows.

Overhead, six character cubes and the brand imagery panels had to land cleanly under the architectural header, with rig sequencing tied to Mandalay Bay’s union timing so the meeting floor below was usable from open on May 20.

Approach

Floor Plan & Meeting Cell Layout

Mapped Booth N204 against Mandalay Bay's hall layout, then laid out 14 meeting tables and 72 chairs into discrete deal cells with clear aisle flow — so BBC Studios' team could hand licensees from one meeting block to the next without traffic crossing through other conversations.

Overhead Rig & Character Cubes

Sequenced the architectural header, six suspended character cubes, and overhead brand imagery in coordination with Mandalay Bay rigging — chain motors, rig points, and load tickets all scheduled so the overhead landed before meeting-floor furniture went in beneath it.

AV, Merch & Photo Op Integration

Built out the four LED walls/kiosks, 65" reception monitor, branded merch case, dedicated photo op, and AV & storage back-of-house in sequence — power and data runs pulled inside wall cavities so cabling stayed off the meeting floor.

Pre-Open Walkthrough

Final walkthrough with the BBC Studios team covered LED calibration, character-cube alignment, table-and-chair count against the meeting schedule, photo op readiness, and reception display before the show floor opened on May 20.

Character Cubes & Overhead Header

Six suspended character cubes hung under an architectural header band, with overhead BBC Studios brand imagery panels finishing the ceiling line — reading as one continuous brand frame above the meeting floor.

14-Table Meeting Floor

Fourteen meeting tables and 72 chairs laid out into discrete deal cells, sized so BBC Studios' team could run back-to-back licensee meetings without traffic crossing between conversations.
